Create a document template

Creating a document template in WordFields is an essential step towards automating your routine document management tasks. Document templates serve as a blueprint for producing multiple documents with similar structure but different data. In this article, we will guide you on how to create a document template in WordFields.

Note: Only workspace Administrators or Owner can create and manage document templates, which will then become accessible to the members within the workspace. This is to ensure security and manageability within the team.

Create template from a document

To create a new document template, you'll first need to locate an existing document that will serve as a foundation for your template. This can be one of your existing contracts, agreements, meeting minutes, or you can choose to start from scratch using Microsoft Word or any text editor.

Once you have your document, follow this steps:

  1. On the workspace home screen click on the Create template button in the top right corner.
  2. A Create new template screen will be shown to you.
  3. If you have the document you want to use as a template on your local drive, simply click on the Browse my computer option. A file dialogue will open, where you can select your Word (docx), Excel (xlsx) or text file.
  4. If your file is saved on OneDrive, select the Choose from OneDrive option. This will prompt a request for authorization to access your OneDrive account. Once you've granted permission, you can easily select your document from your stored OneDrive files.
  5. Upon selecting the document you will be directed to the Template editor screen.

Please note: any Word, Excel, or text document you upload to WordFields will not be converted to any other format and maintain its original format so all the documents' formatting will be preserved. The document preview in WordFields merely provides a simplified textual preview and may not accurately replicate the actual layout. However, rest assured that the final document layouts will remain identical to the ones you uploaded.

The Template editor screen is where you can customize your template. You can select any part of the text you want to turn it into a dynamic content placeholder called Merge Field. To do this, simply click anywhere in the template preview and select the part of text you'd like to convert it into a merge field.

A fill-out form will be automatically generated from merge fields you've added to your template. This form is then used to enter data during the creation of a new document, automatically filling or "merging" the merge fields with the user's input data.
