Workspace predefined values

Predefined values refer to a set of key-value pairs that can be utilized in all document templates. They allow you to have merge fields in the document template that auto-populate without requiring user input. For example, a company name, address, etc. can serve as predefined values, allowing automatic filling of these details when making a new document. Any changes to these pre-set values will reflect in any new documents where this values are used as merge fields in the template.

Note: You will need to have an owner or administrator role to add or manage predefined values in the workspace.

Add and manage predefined values

Define workspace predefined values
In "Workspace Predefined Values" dialog you can add your own key value pairs.

To add a new predefined value follow this steps:

  1. In the upper-right corner of top navigation click the cogwheel icon.
  2. On the workspace settings page scroll to the Data settings section and click on Edit predefined values link on the right side.
  3. In the dialog click on the Add value button.
  4. This will add a new pair of name and value inputs. The name explains what this value represents while value it the actual text that will be replaced in the document template.
  5. Don't forget to click on Save changes button once you are done.

You can modify predefined values at any time. However, please note that if you change the name, you will also have to update your templates where that name is used in merge fields. If you wish to remove a predefined value from your workspace, simply click on the trash bin button next to it.


Predefined values can be added to your template in template designer.
