Discover Template editor

The WordFields template editor offers an effortless experience for adding merge fields to your templates, along with advanced tools to help you design the form of your document. You can access the template editor if you are an Administrator or Owner of the workspace.

To open template editor follow this steps:

  • Go to workspace Home screen and locate the template you would like to edit.
  • Click on the three dots button on the right side of the template.
  • In the menu select Template editor.

Alternatively, you can open the template as if you were starting a new document and click on the Template Editor button.

Note: Only workspace Administrators or Owner can use template editor to create and manage document templates, which will then become accessible to the members within the workspace.

In the template editor screen, the topmost part displays the title of the template you are currently editing. On the right side, there is a Preview template button that directs you to a screen where you can test your template and generate test documents. The Save Changes button becomes visible when you make edits to the template or document form.

Note: You cannot preview the template unless you save the changes first.

Switch between Merge fields and Form designer

There are two main views available to you in the template editor - Merge Fields and Form Designer. You can switch between them in the tabs bar right below the template title.

Merge fields view

The Merge Fields view will show you a text preview of the template. Here, you can select any part of the template's text that is modifiable (such as names, dates, etc.) and it will be automatically converted to a merge field. For further customization of the merge field, use the sidebar for additional settings. Read on to learn more about setting merge fields in the template:

Form designer view

Every merge field you add to the template will appear as an input field in the Form designer view. By default, each merge field is set as a simple textual input field. However, you can change it to other types, such as Number, Decimal, Date, 'Select from a list,' or Data object. Read more about designing a form for document template.

Saving changes

Make sure you save your changes when you update merge fields or form input fields. To do so, click on the Save Change' button located at the upper right corner. If you decide not to save your changes, click on the Discard button instead.

The "Save Changes" button will become visible when you make changes to a merge or form fields.

Manage template settings

If you wish to modify the template settings - such as the template name, notes and guidelines for users, automatic numbering, or access permissions - click on the cogwheel button located in the upper right corner of the template editor.
